Using HR Diagnostics with clients

  • What is a client licence?

    Each client you run an audit for requires a client licence. The number of licences included depends on your package. Licences are assigned to individual clients — they can't be transferred between clients or shared.

  • Which types of clients should I use this compliance tool with?

    The HR Diagnostics tool is suitable for any business operating in England and Wales. 


  • How is the tool branded as my business?

    HR Diagnostics allows full custom branding to reflect your consultancy’s identity. During the onboarding process, you can:

Client onboarding and usage

  • How quickly can I be set up and ready to use with my clients?

    Instantly! Once you’ve subscribed to a package, you can start adding client details immediately, allowing them to access the diagnostic tool right away.

  • How do I get set up to use HR Diagnostics with my clients?

    To add a client to your HR Consultant portal:


    1. Go to the “My Clients” tab in your HR Consultant dashboard.
    2. Select “Invite Client” (right‑hand side, halfway down the page).
    3. Enter the client’s email address and create a temporary password for them.

    1. The client will receive an email invitation prompting them to register and access their account.

  • How long does it take to complete an HR Audit using HR Diagnostics?

    The time required varies depending on whether you guide the client through the audit or they complete it independently. When clients work through it on their own, the duration can differ based on their existing HR, Health & Safety, and GDPR knowledge.


    Most clients complete the audit in around 2–3 hours.


    To make the process manageable:

    1. The assessment is divided into bite‑sized, easy‑to-follow sections.
    2. Progress is saved automatically, so clients can pause and return at any time.
    3. You can agree a realistic timeframe with the client in advance to ensure they block out dedicated time to complete it.
  • Do you offer training or demos on how to use HR Diagnostics?

    Yes! We provide a range of resources to help you get started, including:

  • How many of my clients can access the software?

  • How do I track my client's progress?

    Both you and your client can monitor their progress through a percentage completion tracker. Additionally, within your portal, you can view:


    📌 The client’s last activity date

    📌 A progress bar that gives real-time insights into their assessment status


Managing your account

  • How do I change my account details?

    You can update your Personal, Company, Billing, and Security details by visiting your User Profile.



  • How do I manage multiple client accounts within HR Diagnostics?

    Your HR Consultancy portal allows you to manage multiple client accounts via the "My Clients" page within your dashboard. Here, you can:


    ✅ View a list of all your clients

    ✅ Access individual client accounts by clicking the "Go" button under the "Go to Client" heading


  • Can I transfer my license to another consultant if I stop using HR Diagnostics?

    No, the Software Licence Agreement is specific to you and cannot be transferred to another user. 


    However, if you refer another consultant to set up their own account, you will receive a one-time referral bonus in the form of a £20 Amazon voucher.



  • Can I delete my data permanently if I stop using HR Diagnostics?

    Yes, your data belongs to you and your clients. However, please note that if you cancel your subscription, all stored data will be automatically deleted.



Subscriptions and payments

  • Can I trial HR Diagnostics?

    Yes, you automatically get a free 7-day trial to use with one client when you sign up. You just need to remember to cancel your trial before the expiry date.

  • How do I cancel my free trial?

    Go to your HR Consultant portal - click on top right icon - view profile - billing - select the option to either cancel the trial completely or end trial so you can recieve all client licences that you have subscribed to. 

  • What are the subscription costs?

    HR Diagnostics works on a monthly subscription basis. You can select the plan that suits your consultancy (Starter, Professional, or Growth), and then add or remove client licences as your workload changes.To see the subscription packages, click here-https://app.hrdiagnostics.co.uk/packages


  • What payment options do you accept?

    Our payment processing is via Stripe and you can use various forms of payment. 



  • Which package should I choose?

    That depends on how many clients you're planning to run audits with. Here's a quick overview:


    •  Starter — ideal if you're just getting started or have a small client base

    •  Professional — for consultants running multiple client audits with interchangeable licences

    •  Growth — for practices running larger volumes, with the option to purchase additional top-up licences

  • Can prices go up?

    We can increase Subscription Fees at the start of each Renewal Period (i.e. after your initial 12-month term). We'll always give you at least 30 days' written notice before any increase takes effect.


    Any increase is capped at the higher of 10% above your current fee or the UK Consumer Prices Index (CPI) rate for the preceding 12 months — whichever is greater. We won't suddenly double your subscription on renewal.

    Regular Software & Compliance Updates

  • Are prices inclusive of VAT?

    No. All Subscription Fees are quoted exclusive of VAT. VAT at the applicable rate will be added to your invoices. Our VAT number is 508094101.

  • When will my monthly payment be charged?

    Your subscription begins automatically at the end of your 7‑day trial.


    For example, if your paid monthly subscription starts on the 14th of the month, your direct debit will also be taken on the 14th of each following month.

  • How do I change my subscription option?

    You can upgrade or downgrade your subscription by visiting the Plans & Pricing Page on the website, as follows: https://app.hrdiagnostics.co.uk/packages


  • What happens if I miss a subscription payment?

    If a subscription payment is missed, your account may be temporarily suspended until the payment is successfully processed. 


    To avoid service interruptions, ensure your payment details are up to date.

  • Is there a minimum commitment?

    Yes. All packages carry a 12-month minimum term, regardless of which plan you're on. Monthly billing doesn't mean month-to-month — you're committing to 12 months from your Effective Date.

Technical support and functionality

  • Why isn’t the platform loading properly?

    This is usually caused by your browser storing old data. Please clear your cache and cookies, close your browser, reopen it, and log back in.

  • Why won’t a button or page respond?

    Yours or your clients browser may be showing a cached version of the page. Clearing your cache and cookies will refresh the system and load the latest data.

  • How do I clear my cache and cookies?

    Go to your browser settings, search for “Clear browsing data,” select cache and cookies, then confirm. Close all browser windows afterwards.

  • I’ve cleared my cache and cookies but the issue is still happening — what next?

    Please contact support with:


    A short description of the issue


    Screenshots (if possible)


    The browser you’re using (Chrome, Edge, Safari, etc.)


    The date and time the issue occurred


    This helps us investigate quickly.

  • How does the software kept up to date when employment laws change?

    HR Diagnostics ensures compliance by continuously updating its assessment questions and action plans. 


    Updates are reviewed and ratified by UK Employment Solicitors, Health & Safety Specialists, and GDPR experts to reflect the latest legal requirements and HR best practices.

  • Where is my data stored?

    Your data, along with your clients' data, is securely stored in the cloud and protected by strict GDPR-compliant security protocols to ensure confidentiality and integrity.


  • I am outside the UK. Can I use this tool with my clients?

    No, HR Diagnostics is currently only available to businesses in England and Wales due to specific employment legislation requirements.


  • How is my clients’ data protected?
